Be Creative Terms and Conditions, Bookings and Refunds

Be Creative Fairs are held at St Margaret’s Hall, Bradford on Avon, BA15 1DE and outside in Westbury Gardens which are adjacent to St Margaret’s halls’ car park and in the centre of Bradford on Avon, with good visibility from the main road through the town.

The Wiltshire Farmer’s market is held on the same day at Lamb Yard and the Riverside. 10.30-2pm

Payment

Bookings will be confirmed when we have received a completed booking form via email or online and full payment.
Advance dates can be secured by making a £5 deposit for each date required and the balance is paid in full 28 days before the event.
We do however; require a signed hard copy of the booking form, plus a copy of your Public Liability Insurance for our records. This can be sent in advance to 31 Avon Close, Bradford on Avon, BA15 1JJ or alternatively, we will accept the paperwork on the day of the fair.
Confirmation of your booking and payment will be made via email and a hard copy receipt given at the fair.

Refunds

All payments are non-refundable unless cancelled 28 days before the event.
If, due to circumstances beyond our control, an event must be cancelled by Be Creative, a full refund will be given.
If the fair in Westbury Gardens is to be cancelled due to bad weather, a decision will be made as early as possible and stall holders informed accordingly.

Be Creative provides:
St Margaret’s Hall: Table(s), 2 x Chairs
Any specific requests?  Eg Electricity Required?
Extra space required for demonstrations or to run a workshop must be discussed with team. Provision cannot be guaranteed but will be provide where available and on a first come first served basis. You will need to provide your own PAT tested extension lead.

Westbury Gardens: Stallholders are responsible for their own table(s) gazebo, chairs

Insurance

Be Creative provides public liability insurance to cover running of the fair, but all stall holders are also recommended to take out their own insurance to cover loss or damage to their own goods and possessions.
Be Creative cannot be held responsible for injury or accident caused by a stall holder’s product or exhibit, loss of profits, for damage or theft of stall holder’s stock or interruption of power or services
Food sellers should also enclose a copy of their local authority registration details and their food hygiene certificates.

Set up and stall presentation

On arrival a plan will indicate your stall position and tables will be labelled with the stall holder’s name. Allocation of spaces at the venue is at the sole discretion of Be Creative and will be arranged to best separate similar crafts.
9am         St Margaret’s Hall and Westbury Gardens open for set up.   Please remember that it is a Sunday!
10.30am     Stallholders must be ready for opening to the public
4.00 pm      Breakdown No dismantling of stalls before the advertised time of the fair closure

For loading and unloading,
St Margaret’s Hall there are two areas with direct car access, one at the main entrance to the hall, the other at the side.
Westbury Gardens, access is from the main road through the main gates and from St Margaret’s car park

Both car parks are “pay & display” but sometimes have “free parking” offers to help promote events in the town.
All stalls to be set up in an attractive manner and stall holders to supply a suitable table covering. Please note that nothing can be attached to the walls of the hall.  Boxes etc. to be stored out of sight.
Please ensure that any displays/shelves, lighting or signs are stable and secure and will not cause any hazards or obstruction to other sellers or public visitors
Please also be thoughtful about the position of any signs or displays that protrude from your stall. You may be asked to reposition items that could potentially cause obstruction. We require your full co-operation in this matter;  for the safety and protection of your stock, to prevent obstruction to your fellow sellers stalls and out of consideration to customers.
Please remove all rubbish around your stall before leaving the hall/gardens.
Stock offered for sale
Anyone wishing to book should email photos of their products or provide a web address where their stock may be viewed.
Be Creative need to ensure a high standard of workmanship and to avoid excessive duplication of any one kind of craft or product.
We require that most items are handmade by the stallholder.
However, we will allow certain bought in components/products/kits to be offered for sale, if in keeping with the main craft, or if part of a workshop or demonstration.
If space is available we will however, allow traders with bought in goods if they are compatible with the general aims of Be Creative Fairs and not readily available from the High St.
When booking please describe the art & craft(s) that you will be displaying, these will be the only crafts you will be permitted to display. Any stallholder displaying goods other than those on their original application form may be asked to remove them immediately.
If any individual products are regarded as too similar to another stallholder, Be Creative has the right to ask an exhibitor to remove them from display. Preference will be given to the stallholder that booked the event first.

Our Assurance and Advertising

As with any event, we cannot guarantee visitor footfall numbers or sales but Be Creative will do our utmost to ensure that you have a successful fair but bad weather or interruption of power or services is out of our control.
We will create and distribute flyers and as allowed by St Margaret’s Hall posters will be posted inside and outside the venue and around Bradford on Avon and in the local area. During the lead up time to a fair we will advertise on local “What’s On” websites, with banners and sign posts as allowed by Wiltshire Council.
We will provide press releases to local newspapers, A Local Life magazine and radio stations for inclusion in their community event segments.
We will promote via Facebook and Twitter.
Please help by emailing good quality images of your products for us to post on Facebook, twitter and on the website.
As crafters ourselves we are aiming to keep stall charges to a minimum and to avoid the need to add advertising charges on top.
We therefore ask that stall holders invite guests and give out flyers at other venues that you are exhibiting.

A copy of the flyer will be made available to all exhibitors.

We welcome any suggestions in your local area for suitable places to display posters and flyers, also suggestions for editorial in suitable local publications or “what’s on” websites.
